Before You Travel for Cancer Care: A First-Visit Call Checklist for Families in UP and Bihar

Love Heals Cancer · Practical patient navigation

A hospital journey can involve more than the consultation fee. A family may need to arrange a companion, take time away from work, collect reports and pay for local transport. One careful phone call before leaving home can make the first visit more organised.

This guide is for families across Uttar Pradesh and Bihar who are planning a visit to Varanasi, Prayagraj or another treatment centre. It offers questions to ask—not a promise that every test, consultation or financial-support option will be available.

Start by explaining what kind of appointment you need

Tell the booking team whether the patient has a new symptom, a confirmed diagnosis, a referral, a treatment plan to discuss or an ongoing-treatment concern. You do not need to describe private medical details to every person you speak to. Ask how the hospital wants reports sent, if needed, and use its confirmed channel.

Choosing a cancer doctor or centre includes understanding which specialists and services are appropriate for the patient. The National Cancer Institute explains that this choice is an important part of arranging care. Source: NCI, finding cancer care.

Use this six-part call checklist

Ask about Useful question Write down
Department Which department should see this referral, and is the relevant clinician available? Department and appointment contact
Booking Is a confirmed slot required, or is registration on arrival? What if our train is delayed? Date, arrival time and rescheduling number
First-visit charges What does the quoted fee include? Are registration, tests and report review charged separately? Fee details and payment method
Reports Which documents are essential? Do we need scan discs, original slides or a referral letter? Hospital-specific document list
Duration Is the visit likely to be consultation only? If a test is advised, does it need another appointment? What is confirmed and what remains uncertain
Assistance Who checks insurance, Ayushman or charity assistance, and what must we bring? Desk/contact and required documents

If something is uncertain, mark it as uncertain. “We will ask the doctor on the day” is different from a confirmed same-day investigation. Keep the confirmation message or the booking reference where the accompanying family member can find it.

Make a visit folder, without repeating tests on your own

Keep existing reports in date order, along with prescription lists and previous discharge summaries. Ask the hospital before transporting tissue slides, blocks or other material. A short page of questions is easier to use than a long unstructured message.

The NCI recommends keeping medical information and questions organised while managing cancer care. Source: NCI, managing costs and medical information. Your doctor should decide whether an older investigation needs repeating; do not buy a scan package simply because you are travelling to a larger city.

Separate medical expenses from the cost of the journey

Use four lines in your notebook: hospital consultation and tests; medicines or procedures if advised; travel; and food/stay for the patient and companion. Do not treat a consultation quote as the total treatment cost. If treatment is recommended, ask for an itemised estimate and ask what may change after further assessment.

Tell the team early if a recommended visit or test is financially difficult. Ask which costs are essential now, which decisions require the doctor, and whether a hospital assistance desk can assess support. Do not assume a hospital is currently empanelled for a scheme or that a card covers a particular treatment; have the hospital confirm.

For Varanasi and Prayagraj, confirm the destination

Families asking about ZenHeal hospital visits can check the official Varanasi hospital information or the official Prayagraj hospital information, then confirm the appointment, address and charges directly. Love Heals Cancer offers patient information and navigation; diagnosis and medical treatment belong to the treating hospital team.

A service region is not a hospital location. Supporting a family from Bihar does not mean the NGO or hospital has a branch in that family’s town. Choose the journey after checking where the needed appointment will actually take place.

Before returning home, agree on the next step

  • Who will explain pending reports, and how will we receive the appointment?
  • Is a return visit needed, and what should we bring?
  • Which symptoms require urgent local care rather than waiting for a callback?
  • Who can clarify the written estimate or assistance application?

If the patient becomes acutely unwell, seek appropriate local medical care rather than waiting for a planned long-distance visit or an online reply.
